Band management

The band management app for everything behind the gig.

Gig details are in emails. Availability is in WhatsApp. The setlist is in a shared doc. Fees are in a note. GigGeist brings the operational side of your band into one place, attached to the gig where it belongs.

Where the information ends up

The gig is confirmed. The details are everywhere.

  1. Venue confirmed

The promoter emailed the load-in. The fee is in a message thread from last week. The parking instructions are in a voice note nobody has saved.

  2. The week before

Your bass player wants to check the lineup. Your keyboard player needs the key for the opening song. Someone else messages to ask what time it starts.

  3. After the gig

Settling up means piecing together what was agreed for each musician, what came out of pocket and what was added at the last minute.

GigGeist puts everything on the gig. One place everyone can check, instead of three different conversations looking for the same answer.

Gig management

Everything the band needs to know. On the gig.

Each gig is its own page: venue, load-in, stage time and notes, linked to the musicians playing it.

  • Date, time, load-in and finish
  • Venue name, address and directions
  • Gig notes: parking, backline, catering
  • A calendar download for any musician
  • All linked to the lineup, the set and the fee

Musician availability

Ask the band. See the answers.

Invite the musicians the gig needs. Each one gets a notification and responds from their phone. You see who is in, who is out and which roles still need filling.

  • Accept, Maybe or Decline from any device
  • Add musicians who are not on GigGeist and record their answers yourself
  • See which roles are filled and which are still open
  • Invite a dep when someone cannot make it

Lineups and roles

The lineup belongs to the gig.

Confirm who is playing what. The lineup is specific to each gig, so a change for one date does not affect anything else.

  • Assign roles to each musician
  • Replace a player for one gig without touching the rest
  • Track confirmed, pending and manually-recorded musicians
  • Message any musician on WhatsApp from the lineup
GigGeist line-up with 4 of 4 roles confirmed: Niall Kavanagh on lead vocal, Stephen Walsh on rhythm guitar, Alan Byrne on drums and Ciara Doyle on bass, with Replace and WhatsApp actions and some availability recorded manually.

Setlists and performance

From rehearsal to the last song.

Save the set. Every musician sees the running order and charts on their phone, in the key that works for them.

  • Named sets you can assign to any gig
  • Change the order or a song's key for one gig only
  • Charts transposed into each musician's key
  • Performance mode: the next song is one tap away

Band finances

What the gig made and what it cost.

Record the gig fee, what each musician is owed and what came out of pocket. The owner dashboard adds it up across the year.

  • Gig fee, deposit received and balance due
  • Each musician's agreed fee
  • Expenses logged against the gig
  • Fuel costs calculated from home addresses
  • See who has been paid and who is still waiting

Each musician sees only their own fee. GigGeist is not accounting software: it keeps the money clear.

GigGeist owner dashboard for this year: €9,600 revenue, €3,945 costs, €5,655 retained profit and €4,395 in outstanding payments, with a monthly money in versus money out chart, average profit per gig and upcoming gig value.

WhatsApp and GigGeist

The conversation is in WhatsApp. The answers are in GigGeist.

GigGeist does not replace your band's group chat. Band life happens in WhatsApp. GigGeist is where the structured information lives — the kind a musician needs to check the night before the gig.

WhatsApp is where you

  • Announce the gig
  • Remind everyone it is this weekend
  • Ask if anyone wants a lift

GigGeist is where you check

  • The load-in time and address
  • Who is playing and in what role
  • What to open with and what key
  • What each person agreed to be paid

Band management app questions

What is a band management app?

A band management app organises the operational side of your band in one place: gig dates and venue details, musician availability, lineups, setlists and the money. GigGeist is built around each individual gig, so all the information for a date — who is playing, what you are playing, what everyone is being paid — stays together on that gig.

Does GigGeist work for any type of band, not just cover bands?

Yes. GigGeist works for any gigging band. Whether you play originals, covers or a mix, the core tools work the same way: gig management, availability, lineups, setlists and money. Cover bands get extra value from the dep features and the way GigGeist handles changing lineups across multiple gigs.

Can I manage musician availability in GigGeist?

Yes. Invite the musicians a gig needs and they reply Accept, Maybe or Decline from their phone or computer. Every answer appears on the gig. You can also add musicians who do not use GigGeist and record their availability yourself.

Can I have different lineups for different gigs?

Yes. Each gig has its own lineup. Replace a musician for one gig without changing anything else, assign different roles to different people, and confirm each player separately. The band's members stay the same; who plays what on a given gig is up to you.

Does GigGeist include setlists and charts?

Yes. Save named sets and assign them to gigs. Song order and keys can be changed for a single gig without touching the saved set. Charts are transposed into each musician's key, and performance mode puts the running order and chart on their phone during the gig.

Can musicians use GigGeist on their phones?

Yes. GigGeist works in any mobile browser. Musicians can respond to availability invitations, check gig details and use performance mode for the running order and charts, all from their phone.

Can I track band income, musician fees and gig expenses?

Yes. Record the agreed gig fee, what each musician is owed, out-of-pocket expenses and travel costs. The owner dashboard shows revenue, costs and profit by month or year, and tracks who has been paid. Each musician sees only their own fee.

Does GigGeist replace WhatsApp for band communication?

No, and it is not meant to. Band life happens in WhatsApp. GigGeist holds the structured information that musicians need to look up: load-in times, the lineup, the setlist, what they are being paid. The two work alongside each other.
